What this policy covers
This policy covers launchpodstudios.com and the ways you can contact us from it: signing up to our newsletter, booking a call or studio time, and emailing us. Production work we do for clients is covered separately in our agreements with those clients.
What we collect and why
When you visit the website
The site is hosted by Cloudflare. To deliver pages and protect the site from abuse, Cloudflare processes technical information such as your IP address, browser type and the pages you ask for. We use this on the basis of our legitimate interest in running a secure website. We don't use analytics, advertising trackers or social media pixels on this site.
If you sign up to our newsletter
Our newsletter signup form is run by Brevo. You give us your email address, and Brevo sends you a link to confirm before you're added. Brevo keeps a record of when you signed up and confirmed. We use your address to send you our newsletter, on the basis of your consent.
Our newsletter emails may include open and click tracking. This tells us whether an email was opened and which links were clicked, so we can see what readers find useful. You can unsubscribe at any time using the link in any newsletter, or by emailing us. If you use the unsubscribe link in an older email, it may open an email to us instead, and we'll remove you by hand.
If you book a call or studio time
Our booking pages are run by Koalendar. To book a discovery call we ask for your name, email address, phone number and the name of your project. Studio and session bookings can ask for a few more details about the session, such as how many people are coming. Koalendar sends you a confirmation email, an email reminder and a text message reminder before the call, and adds the booking to our Google calendar.
If a booking needs payment, it's taken through Stripe inside the booking page. We don't see or store your full card details.
We use these details to arrange and hold the call or session and to follow up afterwards. This is to take steps you've asked for before any agreement, and in our legitimate interest in replying to people who contact us.
If you email us
Our email runs on Google Workspace. When you email us we receive your name, email address and whatever you choose to tell us. We use it to reply, to send you a quote if you ask for one, and to keep a record of what was agreed. This is in our legitimate interest in replying to enquiries, or to take steps you've asked for before an agreement.
Cookies
This website doesn't set any cookies. It saves one small setting in your browser (local storage) to remember whether you chose the companies or creators side of the site, so the right prices show. It isn't sent to us and you can clear it in your browser settings. See our cookies notice.
Who we share it with
We use these service providers to run the website and the services above. They process personal information for us under their data protection terms:
- Cloudflare: website hosting and security
- Brevo: newsletter signup and sending
- Koalendar: call and studio bookings, confirmations and reminders
- Google (Google Workspace): email and calendar
- Stripe: payments for paid bookings
We may also share information with our accountants and professional advisers where it's needed, or with authorities where the law requires it.
Some of these providers are based in, or use servers in, countries outside the UK, such as the United States. Where personal information leaves the UK, the transfer is covered by UK adequacy regulations or by the safeguards in the provider's data protection terms, such as the UK International Data Transfer Addendum.
How long we keep it
- Newsletter: until you unsubscribe. Brevo then keeps your address on a do-not-email list so you aren't added again by mistake.
- Bookings and enquiries: for as long as we need them to deal with your enquiry and any work that follows, and then we delete them.
- Records needed for tax and accounts, such as invoices: six years, as the law requires.
- Website technical logs: kept by Cloudflare for a short time for security.
Your rights
You have the right to ask for a copy of the personal information we hold about you, and to ask us to correct it, delete it, or limit how we use it. You can object to us using it on the basis of legitimate interests, and ask for information you gave us to be sent to you or someone else in a usable format. Where we rely on your consent, such as for the newsletter, you can withdraw it at any time.
To use any of these rights, email hello@launchpodstudios.com. It's free, and we'll reply within one month.
Complaints
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You can also complain to the UK regulator, the Information Commission, which is still known as the ICO:
- Online: ico.org.uk/make-a-complaint
- Helpline: 0303 123 1113 (Monday to Friday, 9am to 5pm)
- Post: ICO Head Office, 4th Floor, No.3 Circle Square, 5 Hawkshaw Street, Manchester M1 7BL
